Text Box: Information—there’s a ton of it! Paper files have always been a nuisance to organize, keep track of and store. Now we have digital archive overload to top it all off. 
 
As an office working as closely as possible toward a paperless model we understand the demands of electronic file and 
database organization. We’re making a point to do some Spring cleaning to get things in order. Although now might not be the ideal time for you to embark on a thorough Spring cleaning, we’ve put together a checklist for consideration when you are.
 
à Databases: when is the last time you did an update, merge and purge of your contact database? It can be a big job, but if attended to regularly can save time, expense and position you as an efficient organization. Just think of how it appears to an individual receiving two of the same direct mail piece, one with their name spelled incorrectly. 
 
à The Shared Drive: if you are an organization working on a shared network, you have a number of people uploading files to different directories. What file naming conventions are in place? It doesn’t take long to create multiple versions of the same document in different locations without clearly stating where they should be stored. 
 
à Workstations: how much critical data is being stored on individual workstations instead of being uploaded to the shared drive? It might not be a worry now, but if something happens to that workstation before those files have been backed up, the data may be lost for good.  
 
à Email: depending on your situation, email may be an 
extremely important form of information that needs to be securely saved and stored. But, let’s be honest we receive tens to hundreds of emails daily, it can be difficult to cope with your inbox. Consider implementing clear practices on what information is important to keep, what can be deleted and how to file information. It will reduce stress, increase efficiency and safeguard your organization in many ways.

Text Box: Cold & flu season is coming to an end, but computer viruses are here to stay. To protect your environment remind the team to be careful about downloading off of the Internet opening email attachments and clicking links in unknown emails. But, don’t forget to keep an eye out for an even sneakier culprit. Removable hardware like USB sticks and iPods are wonderful transmitters of viruses. Simply plug a device into to your computer after inadvertently downloading a virus from another computer and you’re infected.
